Snaplistings, a leading real estate marketing firm, thrives on delivering high-impact creative and strategic solutions for clients across the luxury property space. In 2025, we developed and launched the Automated Real-Time P&L Intelligence System, a proprietary business intelligence platform that redefines how we track, analyze, and act on financial performance.

Designed and built by Business Operations Intern Emily Donoghue, the system integrates QuickBooks financial data from two separate but intertwined businesses with ClickUp time tracking records, creating a seamless view of client performance, operational efficiency, and employee utilization—all in real time.

Key Features & Functions
• Data Integration Engine: Pulls monthly P&L exports directly from QuickBooks and maps them to task-level time tracking data from ClickUp.
• Custom Metrics Engine: Calculates Margin, Weighted Margin, and our proprietary SnapScore—a composite of operational efficiency and revenue profitability.
• Granular Insights: Tracks profitability and time allocation by client, service, team, and employee, with adjustments for PTO and holidays.
• Automated Dashboards: Live Google Sheets dashboards refresh on schedule, eliminating the need for manual data handling.
• Geographic Team Breakdown: Compares productivity and efficiency between U.S. and Philippines teams, enabling better resource allocation.

Benefits
• 90% reduction in manual reporting time, freeing leadership for strategic decision-making.
• Actionable intelligence that flags low-performing clients for review or scope adjustment.
• Optimized staffing by identifying underutilized capacity and reallocating resources.
• Accurate billable utilization rates, factoring in real-world human variables like PTO.

This initiative empowers Snaplistings to move from reactive accounting to proactive financial management, ensuring that profitability insights are always current, transparent, and actionable. It is a scalable framework that can be adapted to other agencies, departments, or industries seeking operational clarity.
